Pre-start Technical Commission for the participants of "Expedition-Trophy 2008"

The following document is meant for the Participants of "Expedition-Trophy 2008".

In order to participate in "Expedition-Trophy 2008" the Teams must arrive at the city of Murmansk according to the fixed schedule, register their arrival with the Organizers (the time and place of the registration will be advised later at the official site of "Expedition-Trophy 2008") and pass the pre-race Technical Commission (TC). The time and place of the pre-race TC will also be advised at expedition-trophy.ru.

TC is a complex of the following procedures:

  • inspection of the Team's Vehicle (TV) to make sure it is the same vehicle that has been previously declared by the Team, verifying the brand, the model, registration number, VIN;
  • inspection of all the documents granting the Team the right to use this vehicle on public roads; the right of all the Team members to drive the vehicle (authorizations and vehicle insurance policy), health certificates of the Participants;
  • verification of the fact that the Team's vehicle has all the necessary additional equipment (GPS receiver, satellite phone, independent additional heater);
  • washing the vehicle and placing the Organizer's logos;
  • distribution of identity documents.

If the discovered defects can be fixed, the team must do it before the Start. Team will not be allowed to the Start the Race if the defects are unfixable.

Reasons for failing the pre-race TC

A Team's vehicle cannot pass the Technical Commission in the following cases:

  • the present vehicle doesn't coincide with the vehicle that has previously been declared;
  • the vehicle is not registered and doesn't have the registration number, technical checkup coupon, vehicle insurance policy with all the probable drivers listed in it, authorization allowing the Team to command the vehicle, documents certifying that the vehicle is in Russia legally;
  • no documents granting the right to drive the vehicle and no drivers' health certificates have been provided;
  • the vehicle has no obligatory or functioning additional equipment;
  • the vehicle has damages that do not allow any further safe traveling and exploitation according to the National Road Rules.

Identity documentation

After the Teams have passed the pre-race TC, the Organizers hand out special identifying documents (ID) for participation in the Event for all the Teams, Participants and the Vehicle. The IDs contain all the necessary identity and information data. The ID's are to be worn throughout the Event.

The Team Captain (or the Deputy Captain) has the Team's ID and presents it to the Organizers, or the persons in charge, during the Regular TCs and for the marks put by the Organizers at both start and finish of the Stages.

Every Team Member should have their IDs on them:

  • at both start and finish of each Stage and at Challenging points (CP);
  • when they arrive at Team Gathering Places (TGP), and enter restricted zones;
  • when communicating with the Organizers and the Press;
  • at the Stages, if required, when accomplishing the tasks.

The vehicle's ID should be secured inside the Team's vehicle in the lower right corner of the windshield and should be presented at the regular TC, both start and finish of the Stages.

The ID of the Crew (handed out to the participants of the Preface only) must be kept by the Crew Captain (or the Deputy Captain) and be presented to the Organizers or their representatives for printing on the Organizers' marks at both start and finish of the Stages.

The Teams should treat their IDs with care, to not get them damaged or lost. In case an ID is damaged or lost and after considering the conditions under which it happened the Organizers can hand out a duplicate ID. If an ID is lost for the second time, the Team has to pay a fee of 5 000 (five thousand) RUR.

The Organizers, Mass Media and the Guests have special IDs of separate format.

Additional equipment of the teams

Each vehicle of "the Golden Competition" must have additional equipment necessary for preparing food in winter outdoor conditions and supplies of food and drinking water sufficient for two days. Each Participant should have two sets of warm clothing and equipment necessary for surviving in winter conditions under the temperature of minus 40C. It is recommended to have tents for all Team members, sleeping bags (suitable for temperatures of minus 40C), and sleeping mats.
